User Guide

This page is designed as an operational user guide for ward and stake clerks. It includes onboarding, daily workflows, and visual references.

1. Onboarding

  1. Sign in with your account credentials.
  2. Select your unit from the onboarding screen.
  3. If your unit is missing, ask an admin to add/link your account.

Tip: Keep this guide open in a separate tab during setup so first-time users can follow along.

4. Stake vs Ward Differences

The app adjusts key workflows based on your current unit context. These two differences are especially important.

Stake Context: Council Speaking

  1. Open Speaking and select the Calendar tab.
  2. Plan assignments across council members by month.
  3. Assign ward or branch locations for each speaking slot.
  4. Use inclusion and ordering controls for roster planning.

Ward/Branch Context: Sacrament Meeting

  1. Open Speaking and use Sacrament Program workflows.
  2. Track ward-level sacrament meeting planning details.
  3. Manage local assignments relevant to ward administration.
  4. Use meeting-specific records rather than stake council calendar planning.
Quick check: if you see Council Speaking Calendar, you are in stake context. If you see Sacrament Program workflows, you are in ward or branch context.

3. Core Workflows

A. Add a Meeting Topic

  1. Go to Meetings and open a meeting detail page.
  2. Open Meeting Topics and choose Add Topic.
  3. Set priority and status, then save.

B. Manage Callings

  1. Open Callings and select the member or position.
  2. Assign or update the calling record.
  3. Confirm updates in the list view.

C. Import Member Roster from LCR

  1. Go to Members and select the Import button.
  2. Copy and paste your member data from Latter-day Membership Records (LCR) into the import form.
  3. The app will automatically parse and load members into your roster, supporting both bulk imports and incremental updates for ease of management.
  4. Review the import results and save.

LCR imports streamline setup and help keep member records in sync with official church records. You can import member names, contact info, birthdays, and household relationships.

D. Meeting Agendas & Print Features

  1. Open a meeting and navigate to the Meeting Agenda.
  2. Review assigned speakers, topics, and discussion items.
  3. Use the Print feature to generate a meeting agenda printout.
  4. Print agendas for distribution or archival purposes.

5. Temple Recommend Interviews

A. Settings Page

  1. Open Calendar and go to Temple Recommend Interview settings.
  2. Set interview window, slot duration, and interview capacity.
  3. Publish or save settings before sharing the public form link.

B. Public TR Form

  1. Open the public Temple Recommend form from the published link.
  2. Select unit, choose a time slot, and enter member contact details.
  3. Submit and verify that the appointment appears on the schedule.

6. Access and Permissions Quick Map

  1. If an action is missing, confirm role assignment first.
  2. Confirm active unit context (stake vs ward/branch).
  3. Refresh and re-open the target page before troubleshooting deeper.
Typical pattern: Admin users can configure users/units; council and leader users run day-to-day workflows based on assigned permissions.

7. Scheduler and Calendar Matrix

8. Users and Units Administration

  1. Use Users to manage account access and role assignments.
  2. Use Units to manage unit records and context configuration.
  3. Re-check access after changes using the affected user's account.

10. Troubleshooting

  1. If save fails, refresh and try again to clear stale state.
  2. If records are missing, verify your unit association and permissions.
  3. If access is denied, contact a unit admin to review role/calling-based access.
